How to Import and Manage Contacts from YL's Virtual Office to GetOiling's Contact Manager: A Step-by-Step Guide

Importing contacts into your GetOiling's Contact Manager from YL's virtual office or other sources is a powerful tool to help you manage your downline or contact list efficiently. This process involves two key steps: downloading a CSV file from your source and importing it into the GetOiling system.

Step 1: Downloading the CSV file from YL's Virtual Office

  1. Log into the YL virtual office by clicking this link.
  2. Once logged in, navigate to "My Organization."
  3. Click on the "Advanced" link situated below the month and year dropdown on the right side of the page.
  4. Make sure the "All Accounts" or another appropriate option is chosen in the dropdown menu.
  5. Click "Download Report."
  6. A dialog box will appear. Ensure that the following are checked: "Sponsor ID", "Phone", "Enroller ID", "Enrolled", "Address", "Member ID", "Account Name", "Subscriptions", "Has Subscriptions", "Subscription Status", and "Email". Additional fields can be selected if needed.
  7. Click "Download" in the dialog box to download your contact list.

Step 2: Importing the CSV file into GetOiling

  1. Navigate to the Contacts menu and select "Settings," followed by "Import."
  2. Click on the "Choose File" button and locate the downloaded CSV file.
  3. Confirm that you have permission to contact the individuals in the file by checking the respective box.
  4. Click "Start Import."

In the preview of the imported file on the next step, ensure that the field name in the dropdown at the top of each field corresponds accurately with the data in that field. If your file includes a header row, check the box "Don't import first row (it is a header row)" to avoid creating an unnecessary contact.



There are multiple options available during the import process, allowing for further customization:

  • Add Tags to All Imported Contacts: This will apply any tags you add here to every contact in the file.
  • Add Tags To Newly Created Contacts: This will add any tags you add here to new contacts that are added to your contact manager when the file is imported.
  • Remove Tags From All Imported Contacts: This will remove any tags you add here from all imported contacts. This is useful for removing "Inactive" tags, for example.
  • Auto Correct Capitalization Of Names & Addresses: This feature adjusts names in all capital letters to a more reader-friendly format. For example, "JANE SMITH" will be imported as "Jane Smith".
  • Only Import New Contacts (Only Update Tags On Existing Contacts): This option does not update any contact information for contacts already in your database but updates tags on existing contacts if you have chosen any tags in the "Add Tags To All Imported Contacts" field.
  • For Existing Contacts, Only Update Selected Fields: If you wish to only import some fields for certain contacts, check this box and choose which fields you want to avoid updating.
  • Also De-Duplicate By Mobile Phone Number: If you are importing a file that includes a phone number but lacks a YL member number or email address, check this box to avoid duplicate entries.

The import system is designed to avoid creating duplicate contacts. If a contact with the same YL member number in your imported file already exists in the GetOiling contact manager, the system will update that contact. If no member number is supplied, the system will use the contact's email address to find and update existing contacts. This enables you to import contacts regularly, ensuring your contact list is up-to-date.

Finally, once you're ready, click "Start Import." The system will then import the contacts and display the number of contacts successfully imported.
